How To Import Contacts Into A New Organisation

Learn how to bulk-import your existing contacts into Optiphone from a CSV or VCF file, so your customer details, notes and tags are ready from day one.

Step-by-step guide

    Export contacts from your phone

    On iPhone, open the Contacts app and go to Lists. Press and hold All Contacts, then tap Export. Choose the fields you want to include and confirm. When the share sheet appears, tap Save to Files and pick a folder you'll remember. This saves every contact as a single VCF file. On Android, open the Contacts app, go to Fix and manage, and choose Export to file. Already have your contacts in a spreadsheet? Save it as a CSV instead. Optiphone accepts both formats.

    Open Contacts in Optiphone

    Log in to app.optiphone.ai or open the Optiphone app and tap Contacts in the bottom navigation. In a new organisation this page starts empty.

    Choose Import CSV

    Tap the Add Contact button and choose Import CSV from the dropdown. Select the CSV or VCF file you saved earlier from your files.

    Map your columns (CSV only)

    If you upload a CSV, the Map Columns screen shows how each column in your file matches Optiphone's contact fields, like First Name, Phone, Business Name and Tags. Adjust anything that looks off, or set a column to Ignore. VCF files skip this step because the format is already structured.

    Preview and confirm

    The Preview Import screen shows how many contacts are ready and a sample of the first five, with their Name, Email, Phone, Business and Tags. If it looks right, tap Import Contacts.

    Review the results

    When the import finishes you'll see how many contacts were imported and how many were skipped as duplicates. Duplicates are detected automatically, so you can safely re-import the same file without doubling up. If any rows fail, you can download a full error report. Tap Done to finish.

    Check a contact

    Open any contact to confirm the details came through, including their basic information, social accounts and any notes from your file. Each contact also has a Calls tab, so their call history with your agent builds up in one place.
